Event Co-ordinator- 12 month contract role
BUSINESS UNIT Customer & Corporate Relations
REPORTS TO Head of Event Marketing
Please note this role this a full time max term (12 months) with view to permanent
What will I do?
This role is designed to provide first class event marketing solutions to the Westpac Group, including advice on event marketing strategy and high quality delivery that: brings to life the brand strategy and puts the customer at the centre of everything we do. You will assist to deliver client facing and internal events both nationally and offshore.
How will I help?
The Event Coordinator role is responsible for assisting in the management of the events portfolio within Westpac including:
Provide event support and administrative assistance to all members of the Events team
Update and maintain the accuracy of master event calendars on a timely basis
Schedule fortnightly Events team meetings and develop agendas for each
Arrange regular supplier meetings on behalf of the team
Manage the accurate processing of all invoices
Ensure compliance to relevant internal processes, risk procedures and legislative requirements
Maintain content on the Events team OneNote
Maintain and update event templates
Assist Event Managers/Specialists with the printing, production and collation of event collateral
Assist Event Managers/Specialists with packing and unpacking of event toolboxes and collateral for each event
Manage the timely distribution of event materials with courier companies
Maintain stationery stocks and manage equipment orders
Assist members of the team with event budget reconciliations, pCard reconciliations, event reporting, travel bookings and other event support where required
Conduct research into venues, speakers, AV, entertainment, theming and merchandise where required
Develop and maintain effective supplier relationships on behalf of the Events team
Answer telephones for team members when absent from their desk or travelling
Monitor the Event team email inbox
Consistently re-evaluate working practices in terms of efficiency, innovation and cost cutting procedures and seek out and implement new practices where required
Remain abreast of new technology, suppliers, venues and industry best practice
What do I need?
Tertiary qualifications in event management, marketing, communications or another related discipline would be an advantage but not essential.
Experience in a similar role in Financial Services and/or the corporate environment desirable but not required
Strong experience and skills in managing administrative processes and procedures on a timely basis
Advanced level Microsoft Outlook, OneNote, Excel, Word and PowerPoint desirable
Prepared to travel and be flexible with working hours (weekends and evenings from time to time)
Ability to engage and influence people internally and externally
Superior communication and stakeholder management skill
Strong organisational, time management and multi-tasking skills
Exceptional attention to detail
Ability to transfer creative ideas into an outcome
An understanding of digital technology in the events space, including webcasting, streaming, podcasts, interactive voting, webinars, social media an advantage
An understanding e-marketing and event management systems (particularly Aventri) preferable.
