 Data Entry Assistant

THE ROLE

The responsibility of this role is to have accountability of the Accounts Payable function at Swisse to ensure that invoices are entered in a timely manner with full approval and that suppliers are paid when they fall due.  Furthermore, to provide support to all stakeholders both internally and externally by answering queries in a prompt manner.


KEY RESPONSIBILITIES

1.  Invoice Processing 

  • Timely and accurate processing of all authorised supplier invoices within 7 days of being approved for all Swisse entities

  • Reconciling supplier (stock and non-stock) statements within 14 days of month end and following up on unprocessed invoices

  • Preparing scheduled payment batches 24 hours in advance of the payment date to allow time for review by Accounts Payable Lead


2.  Preparation of payments 

  • Preparing urgent ad-hoc payments as required

  • Creating payments in the business’ online banking platform


3.  Customer service

  • Assisting with the management of the Swisse accounts payable inbox for all entities.

  • Sending out invoices for receipting/approval within 24 hours of receipt

  • Responding to queries from internal and external stakeholders in a timely and professional manner.

  • Following up team members weekly on outstanding invoices


4. Continuous process improvement of the Accounts Payable end to end process


5.  Assisting the finance team with filing and other ad hoc administrative tasks


EXPERIENCE AND SKILLS

  • A minimum of 1 years of prior experience in a similar accounts payable team

  • High level numeracy and reconciliation skills, with demonstrated attention to detail and accuracy with figures

  • Experience working with Microsoft Dynamics AX and/or similar ERP is desirable

  • Demonstrated intermediate skills with Microsoft Excel including the use of formulas and functions

  • Ability to use initiative, set priorities and meet deadlines

  • Demonstrated excellent communication skills: written and verbal

  • Demonstrated ability to work within a team environment

  • Flexibility, ability and initiative to work within a continuous improvement environment
