An exciting opportunity is available for an enthusiastic and knowledgeable individual to join the Retail & Launceston team in the role of Retail Leasing Controller. This role is a full time, fixed term (maternity leave cover) position reporting to the Head of Leasing & Commercial.

Job Purpose:

• Assist with the preparation of tenancy related documentation and to engage with internal and external stakeholders from preparation to execution of documents.

• In conjunction with Legal, deal with both tenants and their solicitors in regard to lease amendments.

• Oversee and track the leases for Retail tenancies, provide an accurate and timely provision of new and existing contract information to be held in the Retail Management System (RMS).

• Ensure billing and other financial transactions are being processed accurately, and data is in accordance with the terms and charges set out in agreements, as well as monitor agreement terms and expiries.

• Process the leases to make sure all the information is accurate and logged onto a database and filed.

• Respond to queries regarding leases, concession agreements and licenses from internal stakeholders on a variety of matters such as commencement dates, review details, rates and tax charges and other agreed terms under retail tenancy related documentation.

• Establish and maintain a database for Public Liability, Bank Guarantees and other requirements

• Request, exchange and return Bank Guarantees, preparing internal memorandum including risk assessment and obtaining authorisation from delegates

• RMS/Finance: Liaise with Credit and Billing Controllers to identify risks to revenue and assist Finance and Retail teams in following up retailers for sales as required

• Provide cover for/assist Executive Assistant to Chief of Retail & Launceston as required

• MRI Project: Be the Retail department's representative on the MRI project for the next 12 month period and

  - Create and maintain Site and Lease records.

  - Generate Electricity/Water connection, decommission, and change of occupant forms

  - Maintain insurance policy details

Qualifications, Skills and Experience: 

• Exposure to leasing, or an understanding of property and/legal documentation

• Experience working in contract management or similar data management role

• Highly developed stakeholder management skills

• Excellent data entry skills, high level of accuracy, report writing skills

• Experience and skill in prioritising and managing multiple projects/tasks

• Experience using MS Office, with intermediate to advanced Excel skills in particular

• Well-developed stakeholder management skills
