Receptionist, Administration and Events Officer

The Australian Consulate-General in Chengdu is seeking applications from suitably qualified persons (Chinese national only) to fill the position of Receptionist, Administration and Events Officer at the Australian Consulate-General in Chengdu. The successful candidate will deliver services to both Administration and Public Affairs sections.

Annual remuneration for this position is RMB 117,754 (plus social security/housing fund, performance bonus and other allowances).

About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position

The Receptionist, Administration and Events Officer acts as a receptionist on a rotational basis, provides administrative support to the Senior Administrative Officer and Office Manager and assists the Public Affairs section in organising events and alumni engagement.

The key responsibilities of the position include, but are not limited to:

Reception Services

Act as receptionist on a rotational basis, and as backup, including:

  1. Greet visitors, deal with general enquiries and provide client services to the public waiting area.

  2. Liaise with the reception guards, cleaners and gardening company as required and manage their access.

  3. Provide access control services for the Consulate and maintain a stock and register of temporary and visitor passes

  4. Manage the main switchboard telephone, direct calls and deal with general telephone enquiries.

  5. Receive and distribute mail, ensuring it is screened by the guards as required.

  6. Update the post telephone directory, emergency contact lists and contact cards.


    Administration Assistance

  7. Work with Office Manager to provide support to the administration section, including organising the SAO’s diary and section meetings, appointments, corporate contacts, car movements and travel.


  8. Under the direction of Office Manager, assist with general administrative tasks such as file organising, subscriptions, property issues, official purchasing, and managing stationery and official supplies.


    Events Management

  9. Under direction, assist to develop and establish an alumni database and organise alumni events and functions within the Consulate's consular patch. Seek opportunities to include alumni in other relevant events hosted by the Consulate, eg, public diplomacy events.


  10. Develop New Colombo Plan (NCP) related events and ensure NCP participants are integrated into alumni engagement activities.


  11. Plan and organise Consulate events (booking and setting up venues, coordinating guest lists, invitations, seating plans, running orders etc) and assist with high-level visits, as required.


Other duties

  1. As part of the consulate team, assist with other consulate priorities as required.

Note:The Australian Consulate-General is a professional team and consulate staff are expected to be respond to challenges, be flexible, and to assist with other duties and projects of the consulate as required. Staff should note that some position duties may change over time as required.

Selection Criteria

  1. Strong organisational skills and ability to undertake projects and administrative duties using computer based systems such as Microsoft Office suite.


  2. Ability to work with minimal supervision, to set priorities and organise workloads to meet deadlines. Ability to work under pressure, solve problems, be flexible and adapt to new tasks and situations as required.


  3. Ability to organise public activities and programs, including managing complex events and paying close attention to detail.


  4. Good interpersonal skills, including the ability to cooperate well with colleagues and clients and to develop good working relationships. Ability to work well as a member of a team.


  5. Ability to communicate effectively orally and in writing in English and Mandarin, including the strong liaison, negotiation and translation skills.
