OFFICE COORDINATOR / RECEPTIONIST


Nexia Australia is a successful accounting firm, with offices throughout Australia and New Zealand, and links to Nexia International. Our Sydney Offices are based in the CBD, and host a total of 200 staff and directors. 

Due to our expansion to an additional office, and the growth of our firm, we are seeking an Office Coordinator to join our Front Of House team, which forms part of our Operations division. 


Responsibilities
Reporting to the Executive Manager, the Office Coordinator will be responsible for autonomously managing the reception at our secondary office, coordinate the office facilities, and provide administrative support to the business.

Front of House

  • Responsibility for managing the reception of our 44 market street office, including:

  • Switchboard Management - answering the telephone efficiently and friendly and transferring calls to the appropriate person

  • Meeting and greeting all clients in a professional and friendly manner, offering and making beverages.

  • Keeping reception area and meeting rooms clean and tidy at all times

  • Maintaining all meeting room bookings and ensuring correct room set up and catering for internal or external meetings

  • Assist Client Relations Officers with reception at our 1 Market street office, as required.


Office Operations

  • Oversight of 44 Market St office facilities, facilitation of equipment maintenance, and coordination of general office space

  • Action 44 Market Street admin support and building service requests

  • Sort and distribute incoming and outgoing deliveries for 44 Market St

  • Maintaining cleanliness of kitchen area, including cleaning of coffee machines and dishwashers daily

  • Maintain an adequate inventory of office supplies across both offices, and manage office supply budget.


Office Administration

  • General office scanning, verifying, and filing, and reviewing storage suppliers for filing solutions

  • Assist marketing team in various administration items and responding to website enquires

  • Assist Finance team with accounts payable or receivable tasks


Requirements
We are seeking an experienced office coordinator who will be able to call on their skills and experience to hit the ground running. A minimum of 2 years' relevant experience in reception, office coordination, and administration, including exposure to accounts payable/receivable, will therefore be required. 

To be successful in this role, the key skills and behaviours we are seeking include:

  • High level of service delivery and client care

  • Good verbal and written communication skills

  • Highly organised, and able to respond with flexibility to changing demands

  • Able to work autonomously and also effectively coordinate with others as part of a team 

  • Computer and technology savvy

  • Proactive and solution oriented, with a pride in their own work

  • Familiarity with a professional services environment will be highly regarded.


This is a full-time position, and usual hours will be 8.30am - 5pm. However, you will be required from time to time to vary your start/finish times to accommodate team absences.
